Switching to Motion
Leaving Mechanic Desk for Motion
Your history comes across: customers, vehicles, suppliers, your parts list with stock on hand, your open jobs, and every invoice with its lines and payments, back to your first day. None of it is re-keyed.
What to export
- In Mechanic Desk open More → Settings → Data Export/Import and choose the Export tab.
- Tick every resource. Customers, Vehicles, Suppliers, Inventory, Jobs and Invoices are the ones Motion uses, and ticking all 13 is fine.
- Set the format to Excel, and leave the from-date blank so your whole history exports.
- Enter your Mechanic Desk password and start the export. It runs in the background and shows Download data within about a minute, and an email arrives too.
- When you switch, send the downloaded
.xlsfile to Motion.
This file holds your full customer list. Send it to us directly, never through a shared inbox.
What comes across, and what doesn’t

- Every customer and vehicle

- Open jobs, priced exactly as you had them, with any deposit
- What each customer still owes you
- Your next invoice number, so numbering carries straight on
Doesn’t come across
- Bookings in your old system’s diary: re-enter the upcoming ones before go-live
- Staff logins
- Quotes, for now: your migration report counts them, so you can re-key the open ones on go-live night
- Photos and attachments
- Purchase orders
- Emails and texts
- Oils as a separate list: they arrive as parts
What happens when you switch
- You send us the file.
- We build you a trial tenant on your own data, usually within a day or two, so you can look around before you commit to anything.
- On go-live night we take a fresh export and reload it, so nothing from your last day on Mechanic Desk goes missing.
- Your invoice numbers carry straight on from where Mechanic Desk left off.
